Data Protection

This is the Data Protection Policy (the “Policy”) of Transferendum.  

The purpose of this Policy is to set out the approach of The Translation Department Limited, trading as Transferendum, (the “Company”, “our”, “us”, and “we” as appropriate) to the processing of personal data of customers, employees, contractors and suppliers (“you” and your” as appropriate) in the course of our business as a provider of interpretation and translation services. The Policy should be read in conjunction with our Confidentiality Policy and other relevant policies. 

We at Transferendum take your privacy seriously. We take great care of your personal data and comply with all applicable laws and regulations including the General Data Protection Regulation EU 2016/679 (“GDPR”) which came into force on 25th May, 2018. In particular, we have put the appropriate safeguards in place to process your personal data safely and securely.   

We process the following personal data of customers, employees, contractors and suppliers in the course of our business:

  • Contact details, including address, email address, phone no. 
  • Social media details and links as required, e.g. Facebook, Twitter, Linkedin
  • Tax and social welfare details for employees/contractors and suppliers as required
  • Marital status of employees/contractors as required
  • Employment or occupation details of employees/contractors as required
  • Education and career details of employees/contractors as required.
  • Personal data as disclosed to the Company by third parties in the course of our business.

We obtain personal data from you and with your consent for the purposes of providing interpreting and services to our clients. You may be obliged to provide the data for purposes of a contract with you or a client or to comply with a legal obligation. If you fail to provide the required data, we may be unable to provide services to you or a client. 

We use personal data solely for purposes that are compatible with the purposes for which you provided the data to us. We will only use and disclose the data to a third party on the basis of: 

your consent (which you may withdraw at any time), or

if it is necessary in connection with a contract with you or a client, or

for our legitimate interests, e.g. managing our business, or

if it is necessary for us to comply with a legal obligation.   

We will retain personal data for the duration of any contract with you or a client as appropriate or for so long as we provide services to you or a client or as required by law. We will inform you of any changes that you should know about or as required by law.    

If any personal data is transferred outside the EU this is only done with your consent or in accordance with Standard Contractual Clauses as provided for by relevant provisions of GDPR.  

You have the following rights in connection with the personal data we process about you:

  • To require access to the data we hold;
  • To require correction of any inaccurate or incomplete data;
  • To require the erasure of any data, or restriction of its use, in certain circumstances;
  • To object to our use of the data in certain circumstances; and
  • To require porting or transfer of the data to a third party.

  • All personal data, whether hard copy or electronic, is stored in accordance with GDPR and applicable laws and regulations and secured against unauthorised access, accidental disclosure, loss or destruction.
  • All personal data is only accessible by duly authorised individuals for purpose of the Company’s business.  
  • All hard copy data is destroyed by shredding or returning to a client on completion of processing (the “job”) within 4 weeks of completion. This includes notebooks, copies of correspondence and any other sources of information.  

No hard copies are made or stored in a retrieval system following completion of a job. Electronic versions of the documents may be created for the purposes of processing the job and then destroyed within 4 weeks.

    • Electronic data that is provided or which is created during the course of a job will be processed securely and confidentially.  
    • All confidential data is purged from our system on completion of a job and all accounts are reconciled within 6 months unless instructions to hold or store the data are given.  
    • Data extracted to translation memories remains indexed in a translation memory format only that does not allow the reconstruction of personal data. 
    • Certified translated documents containing personal data is purged from the archives and backups within 30 days of the completion of a job. A reference to the certification of the job will be stored.     

Transferendum is committed to effective statistical recording of the use of its services in order to monitor usage and performance.  

All statistical records given to third parties, shall be produced in anonymous form, so that individuals cannot be identified, e.g., compliance and financial audits may be required by third parties, or reports required for contract management purposes.

All such electronic data is stored and secured in accordance with EN ISO 27001 and PCI standards. Login and data access are controlled and monitored by a specific monitoring system.

Emails are stored securely and encrypted and archived securely. Access is limited to individuals who are required to process the data and is redacted accordingly on a need to know basis during processing. Email and email archives are solely managed by Microsoft on Microsoft’s cloud platform and no copies or  archives can be exported from that system.  

All email data is stored and secured in accordance with EN ISO 27001 and PCI standards. Login and data access are controlled and monitored by a specific monitoring service managed by and provided by Microsoft.
